About the Position:
Adastra IP is expanding its Patent Team and we are seeking experienced Patent Executives with strong technical expertise and proven interpersonal skills to join our dynamic office in Bangsar, Kuala Lumpur.

Ideal candidates will have prior experience in patent drafting, prosecution, or IP strategy, and a keen interest in working with cutting-edge technologies across diverse industries.
Job Responsibilities:
- Conduct patent searches to assess patentability of client’s inventions.
- Drafting patent specifications.
- Prosecuting patent applications (i.e. Reviewing and responding to examination reports by providing technical arguments along with claim amendments).
- Attend to queries from clients and advising clients on patent strategies.
- Conduct freedom to operate search, infringement search, validity search and issue the opinions to clients for the respective matter.
- Ensuring all deadlines are attended to promptly, reporting and billing of work done are handled in an accurate and timely manner.
- Stay updated on changes in patent law and regulations.
- Any other patent responsibilities assigned by the Director of Patent Department.
Job Qualifications / Requirements:
- Possess at least a Bachelor’s Degree in Science / Engineering (i.e. electrical and electronics, electronic and communication systems, computer and communications systems and computer engineering);
- Equivalent experience in the field of Patents / Intellectual Property will be considered in lieu of a Degree.
- Conversant in both written and spoken English;
- Good work ethics with good interpersonal skills;
- Candidates with at least six (6) years of experience are encouraged to apply;
- A team player with analytic, proactive and problem-solving skills.
- Able to work under pressure and meticulous in a fast-paced environment.
Intellectual Property Management Administrator
About the Position:
Adastra IP is expanding its Patent team and we are seeking an Intellectual Property Management Administrator with strong organizational and communication skills to join our dynamic office in Bangsar, Kuala Lumpur, Malaysia.
This role is focused on supporting the effective management of patent and IP portfolios, ensuring timely handling of deadlines, coordinating communications, and assisting in the administration of intellectual property matters.
Job Responsibilities:
- Coordinate with clients to support patent related projects, ensuring timely follow-up and clear communication.
- Liaise with internal technical executives, attorneys, and external partners to facilitate project execution.
- Monitor and track deadlines across the entire patent lifecycle, including filings, prosecution, grant, and renewals.
- Send reminders and alerts to relevant stakeholders on upcoming deadlines and required actions.
- Review communications emails related to the “Director of Patents”, flagging important notifications and escalating wherever necessary.
- Maintain and update records of IP portfolios in internal databases and management systems.
- Assist with preparation and submission of IP-related documents, forms, and correspondence.
- Generate regular reports on the status of IP matters and portfolios for management review and assist with any other tasks assigned by Director of Patents.
- Support overall IP management processes to ensure compliance with internal procedures and external regulations.
Job Qualifications / Requirements:
- Possess at least a Bachelor’s Degree in Business Administration, Law, Science, or a related field.
- Prior experience in IP portfolio management, patent administration, legal docketing, or patent paralegal will be an added advantage.
- Ability to stay organized and manage tasks in a timely manner, ensuring deadlines are met with reliability.
- Strong organizational and time-management skills, with attention to detail.
- Fluent in both written and spoken English.
- Proficiency with MS Office, MS Excel, or IP management software is preferred.
- A proactive team player with good interpersonal skills and the ability to work in a fast-paced environment.
Trademark & Industrial Design Executive
Currently, we are in search of an Executive who thrives in a dynamic work setting, possesses meticulous attention to detail, is self-reliant, highly motivated, and exudes confidence and proficiency in engaging with clients and colleagues in a courteous, accessible, and optimistic manner. Our diverse clientele encompasses a spectrum ranging from expansive multinational corporations to individuals hailing from various corners of the globe.
Job Description:
- Providing professional consultancy services to clients primarily in the areas of trademark industrial design, and copyright.
- Preparing and submitting documentation to the Intellectual Property Office in compliance with statutory requirements.
- Managing and monitoring the entire application and registration process until completion (e.g., issuance of certificate or registration).
- Drafting submissions and/or arguments in response to office actions, refusal notices, and oppositions; advising clients on options to overcome objections or refusals.
- Overseeing and coordinating with clerical staff to ensure proper file management, database updates, adherence to deadlines, and prompt client communication.
- Preparing monthly case reports for the Head of Department.
- Staying updated on the latest developments and procedural changes in IP law, particularly in trademarks and copyrights.
- Writing informative articles, client updates, or brief insights to raise awareness and promote understanding of IP rights.
Requirements:
- A recognized Degree in Law.
- A team-oriented leader with strong analytical, proactive, and problem-solving abilities.
- Ability to perform under pressure, maintain high attention to detail, and meet tight deadlines.
- Minimum 5 years of experience handling trademark, copyright, or industrial design matters.
- Sound knowledge of intellectual property laws.
- Professional personality with excellent written and verbal communication skills.
